Privacy Policy
This policy explains how Brian Crone, doing business as The Aetherweave Codex collects, uses, shares, and protects personal information when you use The Aetherweave Codex.
Information we collect
- Account information such as email address, display name, profile image, biography, verification status, and legal acceptance records.
- Content such as modules, ratings, favourites, characters, chronicles, messages within chronicles, private player messages, message-request status, block records, reports, and support communications.
- Billing records such as Stripe customer, subscription, invoice, refund, dispute, and purchase identifiers. Complete payment-card details are handled by Stripe and are not stored by us.
- Usage and security data such as turns, token counts, rate-limit records, timestamps, approximate network identifiers, device/browser information, request identifiers, and error logs.
How we use information
We use information to authenticate accounts, operate AI gameplay, save chronicles, publish modules, process payments, enforce limits, provide support, prevent fraud and abuse, moderate content, improve reliability, communicate transactional events, and comply with legal obligations.
AI processing
Game actions and the bounded context required to continue a chronicle are sent to OpenAI to generate narration. Avoid entering unnecessary sensitive personal information in modules, characters, or game messages.
Service providers
We use service providers including OpenAI for AI generation, Stripe for payments, Supabase for authentication and email verification, Resend for transactional and operational email, Cloudflare/OpenAI Sites for hosting and storage, and Discord for staff operational alerts. Providers process information under their own terms and privacy practices.
Public and private information
Profiles, published modules, ratings, and favourites may be visible to signed-in community members. Chronicles are private by default and appear on a profile only when the owner explicitly enables showcase visibility. Staff may access information when needed for support, security, moderation, or legal compliance. Private player messages are visible only to their participants unless a message is reported, at which point authorized staff can review the reported message.
Cookies
The service uses essential authentication and security cookies required to keep you signed in and protect account access. We do not currently use advertising cookies or third-party behavioural tracking cookies. Browser controls can remove cookies, but doing so may sign you out.
Retention
We retain account, game, and private-message information while your account is active. Removing a conversation hides it from your inbox; blocking prevents further messages. Account deletion removes active conversation data associated with that account, subject to moderation, legal, and backup retention needs. Security, billing, legal acceptance, refund, dispute, and audit records may be retained longer where reasonably necessary for fraud prevention, accounting, dispute resolution, enforcement, or legal compliance. Backups may retain deleted information temporarily until their normal rotation completes.
Your choices and rights
Your Account & Privacy screen lets you export account data, control chronicle visibility, and request account deletion. Depending on applicable law, you may also request access, correction, deletion, restriction, portability, or information about our processing by contacting us. We may verify identity before completing a request.
Security and international processing
We use access controls, verified accounts, rate limits, server-side ownership checks, backups, logging, and restricted credentials. No system is completely secure. Service providers may process information outside your province or country, where it may be subject to local law.
Changes and contact
Material revisions will receive a new version date and may require renewed acceptance. Privacy questions or requests may be sent to AetherweaveCodex@gmail.com.
